Setting Up Online Payments for Your Sports Academy - UPI and Razorpay

The Cash Collection Problem
It is the 10th of the month. You have 120 students across 6 batches. About 80 have paid their fees. The remaining 40 owe you a combined Rs 1.6 lakh. Some will pay by the 15th. Some will pay by the 20th after you remind them twice. A few will need a personal WhatsApp message, a phone call, and an awkward in-person conversation at pickup time. By the time everyone pays, it is already the 25th and the next billing cycle is five days away.
If this sounds familiar, you are not alone. Fee collection is the single biggest operational headache for sports academies in India. And the root cause is almost always the same: you are still collecting cash and UPI transfers manually.
Why Manual UPI Collection Does Not Scale
Most academies start with a personal UPI ID - the owner's PhonePe or Google Pay. Parents transfer money, send a screenshot on WhatsApp, and someone (usually the owner) manually reconciles everything in a notebook or spreadsheet.
This works for 20-30 students. At 50+, it breaks. Here is why:

Option 1: UPI Business Account (Free to Rs 500/month)
The first step is separating your academy payments from your personal account. Most banks now offer UPI collection for businesses with zero or minimal fees.
How to Set It Up
- Open a current account in your academy's name (you need a GST registration or sole proprietorship certificate)
- Apply for a UPI business ID through your bank or through apps like Paytm Business or BharatPe
- Create a QR code and display it at your academy
- Share the UPI ID with parents for monthly transfers
**Cost**: Most banks charge zero transaction fees on UPI for amounts under Rs 2,000. For larger amounts, expect 0.3-0.5% fees.
**Limitation**: You still need to manually track who paid and who did not. There is no automation here - just cleaner accounting.
Option 2: Payment Links via Razorpay or Cashfree (2% per transaction)
This is where most academies should be. Payment gateways like Razorpay, Cashfree, or Instamojo let you create payment links that you send to parents via WhatsApp. When they pay, you get an instant notification, and the payment is automatically recorded with the parent's name and purpose.
Setting Up Razorpay for Your Academy
- Go to razorpay.com and sign up with your business PAN and bank details
- KYC verification takes 2-3 business days
- Once approved, create a 'Payment Page' for monthly fees - you can add fields for student name, batch, and month
- Generate a shareable link and send it to parents
- Money settles in your bank account within 2 business days
**Cost**: Razorpay charges 2% + GST per transaction. On a Rs 3,000 monthly fee, that is about Rs 71. Some academies absorb this cost; others add a 'convenience fee' of Rs 50-100.
A basketball academy in Noida switched to Razorpay payment links and reduced their average collection time from 18 days to 4 days. The 2% fee was far less painful than chasing 30 parents every month.
Option 3: Subscription/Auto-Debit (The Gold Standard)
If you want to completely eliminate fee collection headaches, set up recurring payments. Parents authorize a monthly auto-debit (via UPI Autopay or e-NACH), and the fee is collected automatically on the 1st of every month.
How to Set It Up

- ●You create a subscription plan (e.g., Rs 3,000/month for Batch A)
- ●Parents receive a one-time authorization link
- ●They approve the mandate on their UPI app
- ●Fees are auto-collected every month until cancelled
**Cost**: Same 2% + GST per transaction, plus Rs 3-5 per auto-debit attempt.
**Reality check**: Not all parents are comfortable with auto-debit. A martial arts academy in Kochi found that about 60% of parents opted in to autopay when asked. The remaining 40% preferred manual payment links. That is still a 60% reduction in collection effort.
Option 4: Academy Management Platforms
Platforms like Zplys bundle payments with student management, batch scheduling, and communication. Instead of stitching together Razorpay + Google Sheets + WhatsApp, you get one system where parents register, pay, and receive updates.
This makes the most sense when you hit 100+ students or run multiple batches across different sports. The time saved on administration pays for the platform cost within the first month.
The Tax Benefit Nobody Talks About
When all your payments flow through a payment gateway, you get automatic, clean records of every transaction. This makes GST filing straightforward (if applicable - GST registration is required above Rs 20 lakh annual turnover) and dramatically reduces your CA's fees.
A multi-sport academy in Chandigarh told us their CA's annual fees dropped from Rs 35,000 to Rs 15,000 after they moved to digital payments, simply because the CA no longer had to reconcile handwritten ledgers with bank statements.
Making the Switch
Do not try to switch everyone overnight. Here is a migration plan that works:
- **Month 1**: Set up Razorpay. Send payment links to new enrollments only
- **Month 2**: Start sending payment links to existing parents alongside their usual payment method
- **Month 3**: Announce that all payments will be via payment link from next month. Offer to help parents in person if they have trouble
- **Month 4**: Go fully digital. Keep one UPI QR at the academy for stragglers
Within 90 days, you will wonder how you ever managed without it.
